CAPS Lock and Bolding text!




We have all received an email, that email, which is literally screaming at you before you've even had a chance to read it. I can understand there are instances when topics are important or urgent but there are better methods to communicate this then using CAPS lock or Bolding text.


Right now, we have more people across the globe working from home due to the Covid-19 pandemic. There is now less one on one, face to face contact and we are truly relying on digital communication to connect us all.


There are some steps we can all revise to ensure our digital communication is received well, regardless if this is an email or text message for example. Be polite and courteous towards the receiver at all times, ask yourself; would you like to recieve this email?. It is crucial now, more than ever to show respect and etiquette, especially on the keyboard!


Here are some quick tips to consider:



Acknowledge the receiver

  • Address the email formally at first (Mr, Mrs, Ms or First and Surname) and break down to first name basis if appropriate, but never start an email with only the topic.


Subject line


  • Ensure the subject line represents the topic of the email and the content is represented in the context of the email or text message.


CAPS lock

  • Turn the CAPS lock off and only use where required for headers or specific key words.


Bold text

  • The use of bold text should only be applied to headers or sub-headers within an email, it is completely unnecessary to bold a complete paragraph.

  • Mark important text in green or blue font (never red) and don't bold regardless of the font colour applied.



Read, read, read


  • Read your email, check the formatting and grammar before sending. Ensure that if you were the receiver of the email, you would be happy to recieve this email or text message.

  • If your replying to an email, check you have read the content of the original email clearly before responding to avoid any repetitive questions that have already been covered off.


Email content


  • Be specific, keep it short, only include related attachments and zip documents where appropriate.
